POSITION SUMMARY
This role will provide HR management, consultation, and support of initiatives in performance management, organizational development, employee relations, recruiting, compensation, process & policy guidance and improvement, immigration, and legal compliance, all to ultimately drive business success. This person needs to be a champion of our culture, confident in their decision-making, energetic & enthusiastic, and have a true passion for people.
ESSENTIAL FUNCTIONS
HRIS & Retention
Use HR software to manage and update the system to capture new hires, terminations, job changes, payroll, and employee benefits (as applicable), including bonuses, leaves, and absences administration.
Partner closely with the payroll department to ensure all employee changes are captured and accurately reflected in upcoming payroll cycles.
Maintain the organization charts to ensure it captures promotions, departures, new hires, and any other applicable job changes.
Maintaining digital files for employees and their personnel documents, benefits, discipline, performance reviews, and attendance records.
Compliance
Oversee employee labor laws and regulations to assure compliance.
Ensure legal compliance by monitoring and implementing applicable human resource federal and state requirements.
Maintain up-to-date knowledge of federal and state employment law and compliance requirements.
Perform routine tasks required to administer and execute human resource programs, including but not limited to compensation, benefits, disciplinary matters, disputes, investigations, performance management, training, and development.
Maintain compliance with federal, state, and local employment laws and regulations and recommended best practices; reviews policies and procedures to maintain compliance.
Maintain in-depth knowledge of legal requirements related to day-to-day management of employees, reducing legal risks, and ensuring regulatory compliance. Partners with the legal department as needed/required.
Handle all leave management administration which includes but is not limited to FMLA, ADA, etc.
Respond to employment verifications and unemployment claims, ensuring timely and accurate responses.
Recruitment
Assist in coordinating staffing and recruitment processes, providing administration support, as needed.
Assist with onboarding and pre-employment support (i.e., new-employee background checks, new-employee DOT compliance, etc.).
Recruit, interview, and facilitate hiring qualified job applicants for open positions; collaborate with department managers to understand skills and competencies required for openings.
Conduct or acquire background checks and employment eligibility verifications.
Maintain the work structure by updating job requirements and job descriptions for all positions.
Help with onboarding activities to ensure new hires receive onboarding information and deliver an exceptional first-day experience.
Complete Forms I-9, verifies I-9 documentation and maintains I-9 files, as applicable per state guidelines.
Prepare new-employee files, ensuring appropriate retention methods are met.
Employee Relations
Recommend and develop employee relations practices to foster a positive employer-employee relationship.
Take appropriate disciplinary action against employees who violate rules and regulations and address employee grievances.
Provide personnel policy and procedure guidance to employees and management.
Process complaints regarding sexual harassment, discrimination, or other instances of workplace harassment and assist in any necessary investigations and disciplinary actions.
Conduct and analyze exit interviews and make actionable recommendations based on data, responsible for providing exit feedback to upper management.
Handle employment-related inquiries from applicants, employees, and supervisors, referring complex and/or sensitive matters to the appropriate staff.
Attend and participates in employee disciplinary meetings, terminations, and investigations.
Proactively manage, coach, and recommend resolutions to a range of employee issues. These may include creating and implementing performance plans, employee relations initiatives or investigations to ensure a positive and fair work environment, maintaining compliance with state and federal regulations, and ensuring risk mitigation.
Establish and maintain positive working relationships across multiple sites; building relationships to leverage core functional HR subject expertise to achieve the organization's goals.
Other
Make copies; process mail, scan, and email documents; and perform other clerical functions.
Assist or prepare correspondence as requested.
Provide administrative and tactical support for HR-related projects.
Perform other duties as assigned.
POSITION QUALIFICATIONS
KNOWLEDGE, SKILLS, AND ABILITIES
Demonstrated knowledge of the human resources field.
Understanding of state and federal employment regulations.
Awareness of OSHA regulations and compliance.
Understanding of personnel and compliance records management.
Strong analytical and problem-solving skills.
Excellent written, verbal, and interpersonal communication abilities.
Ability to drive projects across the entire company.
Excellent interpersonal & communication skills (written & verbal).
Ability to exercise sound judgment, maintain strict confidentiality, and be creative in addressing a wide range of employee situations.
Able to successfully prioritize and execute multi-task projects & initiatives.
Able to monitor the "pulse" of an organization to ensure a high degree of employee engagement and root cause identify concerns when present.
Enthusiastic team member with a strong drive to contribute to a collaborative & positive work environment.
Able to interface at all levels of the organization.
Data analytics.
Fluent in Microsoft Office suite with advanced Excel skills.
EDUCATION AND EXPERIENCE
Bachelors degree in human resources, business administration, or a related field.
2-5 years human resources experience.
Experience with HRMS/HRIS systems.
Proficiency with Microsoft Office (Microsoft Excel, Microsoft Outlook).
Bilingual English/Spanish is a plus.
